# Privacy Policy

**Effective Date:** August 13, 2026 | **Last Updated:** August 13, 2026

This Privacy Policy explains how Ascent ("we," "us," or "our") collects, uses, stores, and protects information in connection with our website, Discord server, and associated bots/services (collectively, "the Service"). By using the Service, you agree to the practices described in this policy.

***

## 1. Information We Collect

1.1 **Account & Identity Data** — your Discord user ID, username, and associated profile information provided via Discord authentication. (view [Discord Policy](https://discord.com/privacy) for more)

1.2 **Server (Guild) Data** — the Discord servers you are a member of, including server IDs, server names, and your role(s) and channel access within those servers, as made available through Discord's API.

1.3 **Application & Certification Data** — information submitted as part of a certification or partnership application, including server details, staff information, and compliance documentation.

1.4 **Website Account Data** — if you create an account on our website, we may collect an email address, username, and authentication credentials.

1.5 **Usage Data** — command usage, timestamps, and interaction logs collected for moderation, security, and service improvement purposes.

1.6 **Technical Data** — IP address, browser type, and device information collected automatically when you use our website.

1.7 **Server, role, and channel data (Sections 1.1–1.2)** is collected because it is essential to the core functionality of the Service — including verifying server ownership or staff status, displaying eligible servers for certification, and enforcing role-based access on the website. This data is retrieved via Discord's API and reflects only what your Discord account already has access to; we do not gain access beyond what Discord's permission scopes grant.

## 2. How We Use Information

We use collected information to:

2.1 Operate, maintain, and improve the Service.

2.2 Process, review, and manage certification and partnership applications.

2.3 Monitor for compliance with our Application Requirements and Terms of Service.

2.4 Detect, investigate, and prevent abuse, fraud, or security incidents.

2.5 Communicate with users regarding their account, application, or certification status.

2.6 Comply with legal obligations.

## 3. Legal Basis for Processing

For users located in the European Economic Area (EEA) or United Kingdom, we process personal data under the following legal bases:

3.1 **Consent** — where you have explicitly agreed to data processing (e.g., submitting an application).

3.2 **Legitimate Interest** — for security, fraud prevention, and service operation.

3.3 **Contractual Necessity** — where processing is required to provide certification or partnership services you have requested.

3.4 **Legal Obligation** — where processing is required to comply with applicable law.

## 4. Data Sharing & Third Parties

4.1 We do not sell personal data.

4.2 We may share data with service providers (e.g., hosting, database, or infrastructure providers) strictly to operate the Service, under confidentiality obligations.

4.3 We may disclose information if required by law, legal process, or to protect the rights, safety, or property of Ascent, our users, or the public.

4.4 Our bots interact with Discord's API; use of Discord itself is governed separately by [Discord's Privacy Policy](https://discord.com/privacy).

## 5. Data Retention

5.1 We retain personal data only as long as necessary to fulfill the purposes outlined in this policy, including active certification review, ongoing partnership status, and legal or security recordkeeping.

5.2 Application and certification records may be retained after termination of a partnership for audit and compliance history purposes.

5.3 Users may request earlier deletion of their data, subject to Section 7.

## 6. Cookies & Tracking (Website)

6.1 Our website may use cookies or similar technologies for authentication, session management, and analytics.

6.2 You may control cookie preferences through your browser settings; disabling cookies may limit certain website functionality.

## 7. Your Rights

Depending on your location, you may have the right to:

7.1 Access the personal data we hold about you.

7.2 Request correction of inaccurate data.

7.3 Request deletion of your data ("right to be forgotten"), subject to legal or legitimate retention needs.

7.4 Object to or restrict certain processing.

7.5 Request a copy of your data in a portable format.

To exercise these rights, contact us using the information in Section 11.

## 8. Children's Privacy

8.1 The Service is not directed at individuals under Discord's minimum age requirement (13+, or the applicable regional equivalent, per Section 1.3 of our Terms of Service).

8.2 We do not knowingly collect personal data from children under this age. If we become aware that we have done so, we will take steps to delete such data.

## 9. International Data Transfers

9.1 Your information may be processed or stored in countries other than your own. Where required, we take reasonable steps to ensure such transfers comply with applicable data protection law.

## 10. Data Security

10.1 We implement reasonable administrative, technical, and organizational safeguards to protect personal data against unauthorized access, loss, or misuse.

10.2 No system is completely secure, and we cannot guarantee absolute security of information transmitted to or from the Service.
